1. Overview
This Refund & Cancellation Policy explains what happens with your payment when a shoot is cancelled, rescheduled, or otherwise disrupted. We aim to be fair to both sides — you're paying for a service, and we're blocking out time, crew, and resources for your shoot.
This policy applies to all bookings made through annastudio.site, via email, or over the phone. It should be read together with our Terms of Service.
2. The Booking Deposit
- A non-refundable deposit of 50% of the quoted fee is required to confirm your booking.
- The deposit secures your shoot date on our calendar and pays for the consultation, pre-shoot planning, crew holds, and equipment reservation we start immediately after booking.
- Once the deposit is paid, the shoot date is blocked — we turn away other enquiries for that date.
- The deposit is credited in full against the total fee.
3. Cancellation by the Client
We understand plans change. Refund amounts depend on the timing of cancellation, documented work already completed, non-refundable costs, and the signed quote or agreement:
- More than 14 days before the shoot: You forfeit the 50% booking deposit. Any amount paid above the deposit is refunded within 7 working days.
- Within 14 days of the shoot: The booking deposit is forfeited. Any additional fee is limited to documented work already completed, non-refundable crew/location/travel costs, and terms stated in the signed quote or agreement.
- After shoot work has started: Fees for completed shoot time, editing already performed, delivered files, approved add-ons, and non-refundable costs may be retained. Any excess balance is refunded within 7 working days.
To cancel, email hello@annastudio.site stating your booking reference and the reason for cancellation. The timestamp of the email is taken as the cancellation date.
4. Rescheduling
We encourage rescheduling over outright cancellation because it is often the better outcome for both sides.
- Free reschedule: One reschedule at no cost is permitted if requested at least 7 days before the original shoot date. The new date must be within 120 days of the original.
- Short-notice reschedule: Reschedules within 7 days of the shoot may incur a rebooking fee of 15% of the total booked fee, subject to crew and location availability.
- Multiple reschedules: A second reschedule is treated as a short-notice reschedule regardless of how far in advance it's requested.
- Rescheduled shoots retain the original deposit and terms.
5. Cancellation by Anna Studio
In the very rare event that Anna Studio must cancel a confirmed shoot — due to photographer illness, serious equipment failure, or other emergency — we offer:
- A rescheduled shoot on the next mutually available date, at no additional cost; or
- A full refund of every amount paid, including the deposit, within 7 working days.
Where possible, we deploy a carefully vetted associate photographer at no additional cost to avoid cancellation. This is usually subject to your prior consent.
6. Weather & Force Majeure
Outdoor shoots are occasionally disrupted by weather or other conditions beyond our control.
- If the shoot becomes unsafe or unsuitable due to severe weather, natural disaster, power failure, transport disruption, or government action, we will reschedule at no additional cost.
- Light rain or overcast conditions are not grounds for rescheduling — many of our best frames come from exactly those conditions. The call is made jointly by the client and the photographer on the day.
- If a shoot cannot be rescheduled at all due to a force-majeure event, we refund all amounts paid less actual costs already incurred (for example, non-refundable travel).
7. Delivery Issues & Dissatisfaction
Photography is a creative service, and aesthetic taste varies. Our correction options are handled against the approved creative brief and agreed deliverables:
- If your final gallery doesn't match the approved creative brief, tell us within 14 days of delivery. We'll re-edit, reshoot the affected frames, or issue a partial refund — whichever is appropriate.
- If the shoot fails due to technical failure on our side (camera malfunction, file corruption, lost files), we offer a reshoot at no charge or a full refund if a reshoot isn't possible.
- Refunds are not issued for subjective preferences that were not raised during the shoot or the revision round. This is why we strongly encourage client presence and input on shoot day.
8. Chargebacks
If you have any concern about a charge, please contact us first so we can review the issue, provide supporting records, and work toward a fair resolution. This does not limit any statutory or payment-provider rights you may have.
9. How to Request a Refund
To raise a refund request, send an email to hello@annastudio.site with the following details:
- Your booking reference number (on your invoice).
- Original shoot date and type of shoot.
- Reason for the refund request.
- Any supporting documentation (medical notes for illness, travel changes, etc., if applicable).
We acknowledge refund requests within 2 working days and close them within 7–10 working days from acknowledgement. Approved refunds are returned to the original payment method.
